Tan Rosie Caribbean Cookery & Culture Retreat - Terms & Conditions

Retreat Dates: May 2027

Operator: Tan Rosie Foods Ltd (UK)

1. Booking & Deposit

1.1. A £500 deposit per person is required to secure a place on the retreat.

1.2. Deposits are strictly non-refundable.

1.3. If you are unable to attend, you may request to transfer your place to another person up to 12 weeks before the retreat start date, subject to Tan Rosie Foods’ written approval and any applicable administrative or hotel charges. Transfers are not guaranteed.

1.4. Bookings are non-transferable to future retreat dates.

1.5. Your place is not confirmed until the deposit payment has been received and Tan Rosie Foods has issued a confirmation email.

 

2. Payment Plan

2.1. The total retreat price is £3,950 per person (based on shared occupancy in standard rooms at the Mermaid Hotel and Radisson Grenada).

2.2. The remaining balance of £3,450 is payable in the following instalments:

  • Instalment 1: £1,150 due 31 January 2026

  • Instalment 2: £1,150 due 30 April 2026

  • Instalment 3: £1,150 due 31 August 2026

2.3. Payment reminders will be sent via email.

2.4. Failure to make instalment payments on time may result in your place being cancelled without refund.

 

3. Changes, Cancellations, Refunds & Transfers

3.1. Deposits are non-refundable.

3.2. If you cancel after paying your balance, the following refund schedule applies:

  • Cancellation before 31 August 2026: 50% refund of payments made (excluding the deposit)

  • Cancellation on or after 1 September 2026: No refund available

3.3. You may request to transfer your booking to another person up to 12 weeks before the retreat start date, subject to written approval from Tan Rosie Foods and any applicable administrative or hotel charges. Transfers are not guaranteed and are subject to availability and suitability.

3.4. If Tan Rosie Foods must cancel the retreat for any reason, all payments made (including deposits) will be refunded in full. This will be your sole remedy in the event of cancellation by Tan Rosie Foods.

3.5. Tan Rosie Foods is not responsible for guests’ international flights, travel insurance, or personal expenses.

4. What’s Included

  • 10 nights’ accommodation (Mermaid Hotel, Carriacou & Radisson Grenada)

  • Daily breakfast

  • 5 hosted dinners

  • All scheduled activities and tours listed in the itinerary

  • Ferry tickets and all local transfers related to the retreat programme

  • 2 immersive Caribbean cookery classes

  • Island boat tour with lunch

  • Sandy Island beach picnic

  • Grenada island tour with lunch

  • Grenada foodie tour with lunch

  • Retreat hosting by Tan Rosie

5. What’s Not Included

  • International flights to/from Grenada

  • Travel insurance (required)

  • Drinks unless specifically stated as included

  • 5 dinners (free evenings to explore local dining independently)

  • Optional excursions on free days

  • Room upgrades and single occupancy supplements

  • Personal spending money, tips and incidental expenses

6. Room Allocation, Upgrades & Single Supplements

6.1. Room preference requests will be submitted after booking via a dedicated rooming form.

6.2. Rooms will be allocated based on:

  • order of deposit timestamp

  • hotel availability

  • upgrade and single supplement selections

6.3. Upgrade and single supplement fees will be invoiced separately and must be paid within 14 days of allocation, unless otherwise specified.

6.4. Upgrades and single supplements are subject to availability and are not guaranteed.

6.5. Where possible, we will honour room preferences (e.g. twin/king, quieter locations), but these cannot be guaranteed.

 

7. Travel Requirements

7.1. Guests are responsible for ensuring their passport, visas, and vaccinations meet entry requirements for Grenada & Carriacou.

7.2. Travel insurance is mandatory and must provide adequate medical, cancellation, curtailment, and personal property cover for the duration of the trip.

7.3. Tan Rosie Foods is not liable for travel delays, missed flights, lost luggage, or costs arising from your failure to obtain appropriate travel documents or insurance.

 

8. Health, Safety & Conduct

8.1. Guests participate in all activities voluntarily and at their own risk, including but not limited to: cookery sessions, walking tours, boat trips, beach activities, and cultural events.

8.2. Guests must follow all safety instructions given by Tan Rosie hosts and third-party providers (e.g. boat operators, tour guides).

8.3. Please inform us of any allergies, dietary requirements, mobility needs, or medical conditions at least 90 days before travel, so we can liaise with hotels, caterers and activity providers where appropriate.

8.4. While we will make reasonable efforts to accommodate dietary requests, we cannot guarantee a completely allergen-free environment. Guests with severe allergies must take all necessary precautions and carry any required medication (e.g. EpiPens).

8.5. Tan Rosie Foods reserves the right to remove any guest from activities or from the retreat if their behaviour:

  • is unsafe for themselves or others

  • causes significant disruption to the group experience

  • is abusive, discriminatory or seriously inappropriate

In such cases, no refund will be provided.

 

9. Photography & Media

9.1. During the retreat, Tan Rosie Foods may take photographs and short video clips of activities, food, locations and group moments for use in future marketing, social media, and promotional materials.

9.2. By attending the retreat, you acknowledge that you may appear in group photographs or general, non-identifying imagery taken in public or shared spaces.

9.3. Wherever possible, we will seek your consent before using close-up or clearly identifiable images of you in marketing materials. Guests who do not wish to appear in photos or video should inform us in writing before the retreat and remind us on arrival so we can take reasonable steps to accommodate this.

9.4. No guest will be paid for the use of any photographs or footage taken during the retreat in which they may appear.

9.5. Guests are welcome to take their own photos and videos for personal use, but are asked to respect the privacy and comfort of other guests and to seek permission before posting close-up images of them online.

 

10. Liability & Third-Party Services

10.1. Many elements of the retreat (including hotel stays, boat trips, taxis, tours and activities) are provided by independent third-party suppliers who are not employees or agents of Tan Rosie Foods. Each supplier operates in accordance with its own terms and conditions.

10.2. To the fullest extent permitted by law, Tan Rosie Foods is not liable for:

  • the acts or omissions of third-party suppliers

  • any personal injury, illness, death, loss, damage, expense, cost or other claim of any nature whatsoever, except where caused by our own negligence

  • any loss, damage or delay arising from events beyond our reasonable control, including but not limited to: adverse weather, natural disasters, strikes, civil unrest, changes to transport timetables, or decisions made by local authorities or suppliers

10.3. Nothing in these Terms & Conditions seeks to exclude or limit Tan Rosie Foods’ liability for death or personal injury caused by our negligence, fraud, or any other liability which cannot be excluded or limited under applicable law.

10.4. Subject to clause 10.3, and to the fullest extent permitted by law, Tan Rosie Foods’ total aggregate liability to any guest shall not exceed the total amount paid by that guest for the retreat.

10.5. Guests are responsible for their own belongings at all times. Tan Rosie Foods is not liable for loss, theft or damage to personal property.

 

11. Itinerary Adjustments

11.1. The itinerary may be adjusted due to weather, sea conditions, supplier changes, minimum group numbers, or other unforeseen circumstances.

11.2. Reasonable efforts will be made to provide equivalent or better alternative experiences where changes are necessary.

11.3. Changes to the itinerary, schedule, venue or activity providers do not constitute grounds for a refund, provided the overall standard and value of the retreat are maintained.

 

12. Guest Waiver & Required Forms

 

12..1. All guests must complete and sign the Tan Rosie Retreat Participant Waiver & Release Form, Medical & Allergy Disclosure Form, and any other required documents no later than 90 days before the retreat start date.

12.2. Failure to return signed forms by the deadline may result in cancellation of your place without refund, as we cannot permit participation without these legally required documents.

12.3. The waiver covers (but is not limited to) participation in cookery classes, cultural activities, boat tours, walking tours, beach activities, and all third-party provider experiences.

12.4. Guests acknowledge that they participate voluntarily in all activities and accept personal responsibility for their own health, safety and belongings.

12.5. By booking the retreat, guests agree that signing the waiver is a condition of participation.
